# Safety Meeting Agenda Templates
Safety culture is built one meeting at a time. Carriers that hold structured, consistent safety meetings have measurably lower crash rates, fewer CSA violations, and stronger driver retention. The meeting itself isn't the magic — the consistency is.
## Why safety meetings work

A well-run stand-down builds trust. A poorly-run one (defensive, blame-focused) damages safety culture for years.
## Documentation
Each meeting documented:
- Date, time, duration
- Attendance roster
- Topics covered
- Action items + owners + due dates
- Distribution list (drivers who couldn't attend get notes)
Retention: 3 years minimum (Part 391/396 compliance touch).
## Common mistakes
- Skipping weeks when "nothing to talk about" — consistency is the magic
- Reading off a slide and dismissing — meeting becomes ritual without effect
- Blame-focused incident discussion — drivers stop reporting
- No driver representation in monthly safety committee
- No action items / no follow-through
- Same topic repeatedly because it's "important" — drivers tune out
- No remote-driver inclusion — terminal-based drivers get attention; OTR drivers don't
