Subject: We can implement Big Chief's proposed electronic settlement without breaking our procedures

Robert — we reviewed Big Chief account 8306's request to submit delivery-ticket data electronically and settle it with one monthly prepaid payment. We can accommodate it, provided the file, the payment, and the processing each meet our existing requirements.

1. **The file must carry our required identifiers.** It needs the parent number, outlet number, ticket number, ticket amount, and delivery date; if Big Chief cannot supply the parent and outlet numbers, we will add them from the customer master file before later submissions run.

2. **The payment and file must balance to zero.** Big Chief builds an extraction program from its accounts-payable file, formats it for our national-accounts cash-receipt system, and sends the file to Data Processing while sending the cheque and a detailed listing to the lockbox; we balance the two under the prescribed procedure, and the cheque total must net against the file detail.

3. **The balanced file then processes through our standard system.** It runs through national-accounts, matches ticket numbers against statement history, and produces the billing records.
