**Subject:** We can accommodate Big Chief's monthly settlement request

Big Chief has requested to replace individual delivery-ticket settlement with monthly electronic file and prepaid payment. We can accommodate the request under the following process.

**Data setup:** The file must contain parent number, outlet number, ticket number, ticket amount, and delivery date. Finance will supply parent and outlet numbers from the customer master file for submissions where Big Chief cannot provide them.

**Big Chief's monthly submission:** Big Chief will build an extraction program from its accounts-payable file in our national-accounts cash-receipt format, send the file to Data Processing, and send the payment cheque with a detailed listing to the lockbox.

**Finance's monthly reconciliation:** Finance will balance the file and cheque payment under the standard procedure (both must net to zero), process the balanced file through the national-accounts system to match against statement history, and produce the relevant billing records.
