# Work-related car expense workpapers
## Inputs
Income year, car ownership or lease details, a record of work-related kilometres (diary or logbook), odometer readings, a valid logbook if claimed (at least 12 continuous weeks), receipts for fuel or charging, registration, insurance, servicing, repairs, lease and interest, the car's purchase price and date, any employer reimbursements or car allowances, and for 2026-27 onwards the facts for the standard deduction: residency, assessable labour income and every other claimed work-related expense of a kind that reduces it.
## Workflow
1. Check each category of trip against the ATO guidance on trips you can and can't claim, and record the basis for each category.
2. Cents per kilometre: read the rate for the income year from the ATO page and apply it to work kilometres up to the ATO maximum. Record how the kilometres were worked out. The rate covers all car expenses, so no separate claim for running costs or decline in value is allowed with it.
3. Logbook: confirm the logbook covers at least 12 continuous weeks, is representative, records each journey's purpose, destination and odometer readings, and is within its 5-year life for the year. Compute the work-use percentage from the logbook and apply it to total car expenses supported by receipts or the ATO's permitted fuel estimate.
4. Decline in value: apply the car limit for the year of purchase and the effective life, and multiply by the work-use percentage. For electric and plug-in hybrid cars, use actual charging costs or the ATO's home charging rate method, not both where the ATO forbids it.
5. Compare both methods where both are supported. From 2026-27, check standard deduction eligibility and its maximum (the lower of the ATO amount and assessable labour income). Car expenses for earning labour income, with every other claimed expense of a kind that reduces it, reduce the standard deduction dollar for dollar. Compare all itemised claims plus any remaining standard deduction with the maximum standard deduction; if eligibility or the other expenses are unknown, leave the comparison `UNVERIFIED`.
## Hand-off and checks
A trip classification note, a kilometres or logbook summary with the work-use percentage, an expense schedule tied to receipts, the decline in value calculation, a method comparison and, from 2026-27, the standard deduction comparison. Method choice and any disputed trip category are reviewer decisions.
For each unresolved item record evidence needed, owner, status and next action. Keep dependent results conditional until the item is resolved.
## Source and review boundary
Before applying a rule, open the relevant primary authority for the work's period and jurisdiction. Record its title, direct URL, provision or paragraph, effective period, check date and the exact fact used. The adjacent `sources.json` records the figures Ryan Duguid reviewed on 24 September 2026 with their effective periods; use them only as a cross-check against the live page, not as current-law approval. A record in it that carries a `reverify_by` date expires after that date: do not use it even as a cross-check, and mark results that depend on it `UNVERIFIED` until the live source has been read. Search snippets and prior-year instructions do not establish the applicable rule. If authority or evidence is unavailable, mark the affected result `UNVERIFIED`, leave dependent calculations blank and identify what the reviewer needs. Never supply rates, thresholds, labels or deadlines from memory.
Keep real client data in the firm's approved environment, outside repositories and unapproved cloud prompts; omit unnecessary identifiers. Write client output only to a configured firm-approved secure path. If none is configured, ask before creating output; do not change `.gitignore` or repository configuration to accommodate it.

## Fabricated acceptance example
An employee claims the logbook method from a 9-week logbook kept three years ago, before changing jobs, and has fuel receipts for only half the year. Do not accept the logbook percentage or estimate the missing fuel without the ATO's permitted basis.
