# Design Documentation Architecture
Architect a documentation system that serves users at every stage of their journey — from first contact through expert use — using a principled structural framework.

## Steps
1. **Audit existing documentation** — inventory all existing content by type, audience, and maintenance status. Identify gaps, duplicates, and outdated material before designing.
2. **Map user journeys** — identify the four user states from the Divio model: learning (needs tutorials), doing a specific task (needs how-to guides), understanding (needs explanation/concepts), referencing (needs API/reference docs).
3. **Apply the four-quadrant architecture** — structure your documentation into: Tutorials (learning-oriented, practical), How-to Guides (problem-oriented, practical), Explanation (understanding-oriented, theoretical), Reference (information-oriented, theoretical). Never mix quadrants in a single document.
4. **Define the information hierarchy** — establish three-level maximum depth: product → domain → topic. Users should reach any page within 3 clicks from the homepage.
5. **Design the navigation system** — primary nav: Tutorials, How-to Guides, Reference, Explanation. Secondary nav: domain-specific sections. Never use jargon in nav labels.
6. **Establish content ownership and templates** — assign a maintainer to each section; create standard templates for each document type (tutorial template, how-to template, reference template, concept page template).
7. **Define the toolchain** — select documentation generator (Sphinx, MkDocs, Docusaurus, Mintlify), hosting platform, versioning strategy, and contribution workflow before writing content.
8. **Set up search and discoverability** — implement full-text search with metadata tagging. Every page needs: title, description, keywords, audience level, and last-updated date.
9. **Create a style guide** — document: voice and tone (second person, active voice), code formatting conventions, screenshot standards, link policy, and update/review cadence.
10. **Plan for maintenance** — define a review schedule (quarterly minimum), broken-link monitoring, version deprecation policy, and feedback collection mechanism (inline ratings, GitHub issues).
## Rules
- Never put tutorial content in a reference page or vice versa; mixing types serves neither user.
- Every page must have a single, clear purpose answerable in one sentence.
- Documentation must be versioned alongside the software it documents.
- Measure documentation with user signals (time-on-page, bounce rate, support ticket deflection) not just page count.
## Common Mistakes
- **One giant README** — trying to cover tutorials, reference, and concepts in a single file serves no audience well.
- **Documentation as afterthought** — writing docs post-launch means the architecture fits the code, not the user's mental model.
- **Orphaned pages** — content that exists but is unreachable from navigation becomes ghost documentation that confuses search results.
- **Over-nesting** — hierarchies deeper than 3 levels cause navigation confusion and make pages feel impossible to find.
## When NOT to Use
- When you need a single README for a small internal tool (use a flat structure).
- When documentation will be maintained by no one — better to have accurate minimal docs than elaborate unmaintained ones.
- When the product itself is still changing rapidly enough to make any architecture premature.
